Evidence Vault

Immutable audit evidence your auditors actually trust.

Evidence Vault is powered by the TrustRelay Fabric, capturing every decision, vendor state change, and reconciliation event as cryptographically immutable evidence for compliance and forensics.

Problem

Audit trails are scattered across systems with inconsistent timestamps, missing context, and no cryptographic proof. When auditors ask 'why was this payment approved?' teams scramble through emails, spreadsheets, and ERP logs.

Risk

Failed audits, unclear liability, no defensible evidence for SOX or SOC2 controls. Cannot prove policy was evaluated correctly at time of payout.

Solution

Evidence Vault captures immutable snapshots of every decision, vendor state, policy evaluation, and reconciliation event. Cryptographic proofs prevent tampering. Search and export tools give auditors complete decision lineage.

Core Capabilities

Explainable Decision Records

Every policy decision—including AI risk scores and ML match confidence—captured with human-readable explanations. Auditors see exactly which factors contributed to each approve, hold, or deny.

AI Transparency Layer

When AI assists decisions (risk scoring, document extraction, matching), Evidence Vault captures model version, feature inputs, and confidence scores. No black boxes—full transparency for compliance.

Context Snapshots

Full vendor record, bank account details, sanctions status, risk signals, and tenant policies captured at decision time. Reconstruct exactly what the system knew for any payout.

Intelligent Search & Filter

AI-enhanced query capabilities find evidence by vendor, date range, decision outcome, risk score, or policy rule. Surface all holds for a specific risk pattern in seconds.

Audit Export

Export evidence bundles as JSON or CSV for auditors. Includes decision lineage, AI model inputs, risk factors, and policy evaluation details.

Cryptographic Proofs

Evidence entries include hash chains and signatures. Auditors can verify no tampering or retroactive changes to decision records—including AI-assisted decisions.

How It Works

1

Decision Captured

Every Policy Engine decision (approve/hold/deny) triggers evidence snapshot. Includes payout intent, vendor record, policy rules evaluated, and decision reasoning.

2

Immutable Storage

Evidence written to append-only store with cryptographic hash. No updates or deletes — only new evidence entries can be added.

3

Search & Retrieval

Internal ops or compliance users search evidence by vendor, date, decision outcome. Retrieve full context for any payout decision in seconds.

4

Audit Export

Generate evidence bundle for auditors: decision log, vendor snapshots, policy configs. Cryptographic proofs allow auditors to verify integrity independently.

Connection to TrustRelay Fabric

Policy Decision Evidence

Every Payout Policy Engine decision writes evidence to Vault. Captures vendor state from Supplier Passport and policy rules from Tenant Config at decision time.

Reconciliation Evidence

Reconciliation Studio logs outcome events (settled, returned, exported) to Evidence Vault. Auditors can trace GL entry → bank outcome → payout intent → policy decision lineage.

Vendor Change History

Supplier Passport writes evidence for onboarding completions, bank changes, and re-verifications. Vault preserves full history of what vendor data looked like at any point in time.

For Your CFO

Evidence Vault turns "trust us" into "here's the proof." When auditors ask why a payment was approved, you export the evidence: vendor state, policy rules evaluated, decision reasoning, and bank outcome — all timestamped and cryptographically immutable.

No retroactive editing. Evidence Vault is append-only. You can't go back and "fix" a decision record after the fact. Auditors can verify integrity with cryptographic proofs.

Supports SOX, SOC2, and regulatory audits. Complete decision lineage, immutable trails, and retention policies meet compliance requirements. No more scrambling for email attachments or "I think this is what happened."
