Supplier Passport
Verified vendor identity and bank details before the first payout.
Supplier Passport is powered by the TrustRelay Fabric, creating a unified source of truth for vendor identity, banking information, and verification status across all your payouts.
Problem
Finance teams lack visibility into vendor identity, bank account ownership, and verification history. Onboarding is scattered across email, spreadsheets, and AP software with no unified source of truth.
Risk
Payments to fraudulent accounts, duplicate vendors, unverified banking details, or sanctioned entities. No change control when vendors update bank accounts.
Solution
Supplier Passport provides secure, token-based vendor onboarding with identity verification, bank ownership checks, and sanctions screening. All data flows into the Fabric as the single source of truth for payout decisions.
Core Capabilities
Secure Onboarding Portal
Secure, one-click vendor invitations with clear, real-time status tracking. Vendors can complete onboarding quickly in a familiar, intuitive experience. Spend less time chasing responses and more time moving payments forward.
AI-Powered Document Extraction
Intelligent OCR automatically extracts legal names, TINs, addresses, and policy details from W-9 forms and insurance certificates. Auto-validates extracted data against submitted fields and flags mismatches for review.
Enhanced Sanctions Matching
Fuzzy name matching with transliteration-aware similarity catches hidden sanctions matches that basic string comparison misses. Every match includes confidence scores and transparent reasoning for audit.
Intelligent Duplicate Detection
ML-powered entity resolution identifies likely duplicate vendors even with spelling variations, alias names, or shared bank details. Assistive alerts help AP teams prevent duplicate payments without blocking legitimate vendors.
Bank Account Verification
Routing/account number capture with instant validation. Bank ownership verification with change-event logging for complete audit trail.
Change History & Audit Trail
Immutable log of all vendor changes with AI-extracted document snapshots. Evidence Vault preserves exactly what was validated and when.
How It Works
Invite Vendor
Internal user (AP analyst or controller) initiates onboarding via API or console. Vendor receives secure token link via email.
Vendor Completes Portal
Vendor enters entity details, tax info (W-9), banking details (routing/account), address, and uploads any required documents (COI, insurance).
Verification & Screening
Fabric validates bank account format, checks OFAC/sanctions lists, and flags any KYB issues for manual review by compliance team.
Approval & Fabric Sync
Once approved, vendor record and bank details sync to Fabric. Supplier Passport becomes source of truth for all downstream payout decisions.
Connection to TrustRelay Fabric
Vendor Master Data
All supplier information (legal name, EIN, address, bank accounts) stored in Fabric as canonical vendor records. ERP and payout systems reference this single source of truth.
Policy Engine Input
Verification status (KYB cleared, sanctions flagged, first-payment pending) feeds into Payout Policy Engine rules. Unverified vendors can be auto-held.
Evidence Vault Snapshots
Every onboarding completion, bank change, and re-verification event captured as immutable evidence snapshot. Audit trail shows who approved, when, and what data was validated.
For Your CFO
Supplier Passport solves vendor fraud at the source. Before any payment moves, you know the vendor is who they claim to be, their bank account is verified, and they're not on any sanctions lists.
Bank changes are auditable. When a vendor updates banking details, Supplier Passport logs the change, requires re-verification, and holds payouts until approved. No more surprise ACH fraud from compromised vendor emails.
One source of truth. Instead of spreadsheets, email attachments, and conflicting records in NetSuite, Supplier Passport gives you a single, verified vendor record that feeds all downstream payment flows.
